1. Who we are & how to reach us

2. Information we collect
- Identification & contact: names, roles, emails, phone numbers, company details supplied via forms, chat, or contracts.
- Operational data: logs from RMM/EDR tools, ticket history, device inventory, application telemetry, audit evidence.
- Transactional data: proposals, SOWs, purchase orders, billing records.
- Usage & technical data: IP address, browser/OS, pages visited, cookie identifiers, crash reports.
- Sensitive data (only if required): limited personal information contained in client files we administer on your behalf; processed under written instructions.
3. Why we use your data
We process personal information for these purposes and corresponding legal bases:
- Delivering proposals, onboarding, support, and incident response (contractual necessity).
- Operating and improving our infrastructure, security monitoring, and analytics (legitimate interest in service quality and cybersecurity).
- Regulatory compliance: DPIAs, breach logs, tax requirements, CAI/OPC inquiries (legal obligation).
- Marketing updates you opt into, such as product briefings or webinars (consent, revocable anytime).
We do not sell personal information or use it for unrelated profiling.
4. Sharing & subcontractors
We share data only with:
- Technology partners (e.g., Microsoft, NinjaOne, AWS, Google Workspace) strictly to provide managed services.
- Specialists and vetted subcontractors bound by confidentiality agreements.
- Authorities or courts when required by law.
- Successors if we merge or sell the business, with prior notice.
Each transfer is covered by written contracts, Law 25 privacy impact assessments, and (where applicable) Standard Contractual Clauses.
5. International & cross-border transfers
Your information may be stored in Canada, the United States, or the EU depending on the cloud stack you choose. Before moving personal data outside Québec we complete an assessment of the legal regime, document mitigation controls (encryption, access limits, SOC 2 vendors), and keep that report on file for the CAI.
6. Security & retention
- Security controls include MFA on every admin account, endpoint detection & response, immutable backups, and least-privilege staff access.
- We keep project records while the contract is active plus up to seven (7) years for legal/financial requirements, then securely delete or anonymize.
- We log, investigate, and, if necessary, notify you and the CAI/OPC of privacy incidents within the timelines mandated by law.
7. Your rights
You may exercise the following rights at any time by emailing the Privacy Officer:
- Access and obtain a copy of personal information we hold about you.
- Request corrections, updates, or deletion (subject to legal holds).
- Withdraw consent for marketing or optional tooling.
- Port data in a structured format or ask us to transmit it to another provider.
- Contest automated decisions and request human review.
- File complaints with the Commission d'accès à l'information du Québec or the Office of the Privacy Commissioner of Canada.
We respond within 30 days, extending only when justified and communicating the reason.
8. Cookies & preference management
Our site uses essential cookies (security, load balancing) and optional analytics (Google Analytics 4, Hotjar heatmaps during specific UX tests). The consent tray lets you accept or decline non-essential cookies; your choice is stored for 6 months or until you clear your browser storage. You can also block cookies in your browser or install Google's opt-out add-on.
9. Automated tools & communications
We use automation to route support tickets, prioritize incidents, and personalize emails. These workflows never make final decisions about employment, credit, or eligibility. You can opt out of marketing emails directly from the footer links.
10. Updates to this policy
We'll revise this statement whenever we add new tooling, launch in new regions, or change how data is used. Material updates are highlighted at the top of this page and, when possible, sent by email to account administrators.
